ATS-Friendly Resumes: Format, Checks and Limits

An ATS-friendly resume makes your contact details, work history, education and skills easy to read as text. Clear formatting helps, but no template or checker score guarantees how an employer will handle your application.

What is an applicant tracking system?

An applicant tracking system, or ATS, is software employers use to manage applications. Systems and employer settings differ. A resume checker can help you spot common readability problems, but it cannot tell you how every employer's system or recruiter will evaluate the document.

Start with clear structure and readable text

Use descriptive section headings such as Work Experience, Education and Skills. Keep job titles, employers and dates close to the descriptions they belong to. Put contact information in readable text rather than relying on an icon or image to communicate it.

A simple single-column layout is a practical starting point. Complex tables, text boxes and decorative graphics can make the extracted reading order harder to follow. Read the plain text after copying from your document and check that headings and role descriptions still make sense.

Should I send a PDF or a Word document?

Follow the employer's file instructions first. If you send a PDF, check that its text can be selected and copied, and that the result stays in a sensible order. A scanned image of a page is different from a PDF containing text. Open the file you intend to submit and inspect it after export.

CVaior's free checker accepts PDF, DOCX and TXT files, or pasted resume text. File uploads are limited to 5 MB. The input formats a checker accepts are not a statement about what a particular employer accepts.

What does CVaior's free ATS checker measure?

The standalone checker assesses the resume itself, using CVaior's own rules. It checks:

  • Contact details: whether basic identifying and contact information can be found.
  • Structure: recognizable sections and dates associated with roles.
  • Experience detail: whether descriptions explain the work and its context.
  • Writing clarity: generic phrasing and descriptions that are difficult to scan.

You can check your resume for free without an account or job description. The score is rules-based and does not require an AI provider.

Why is a resume score different from a job match?

A resume can be clear and well structured while lacking a qualification the role requires. It can also contain relevant experience that needs clearer wording. These are different questions: “Can someone read this resume?” and “Does this experience fit this role?”

The standalone CVaior checker does not score fit against a vacancy, reproduce an employer's ATS or predict an interview. Use its feedback to improve the document, then compare your evidence with the actual job description. The resume tailoring guide explains that next step.

What should I do after running a check?

  1. Read the feedback and confirm that each flagged issue applies to your resume.
  2. Correct missing details and unclear structure using facts you can verify.
  3. Replace vague descriptions with the specific work you did, without adding unsupported metrics.
  4. Review the exported document and follow the application instructions.

A submitted resume is processed for the public check and is not retained afterwards. Temporary reports can quote short excerpts and remain accessible through a secret link for up to seven days. See the Privacy Policy for the full details.
